Who we are
Odoscribe provides a dictation tool for dental clinics. The person responsible for the protection of personal information can be reached at support@odoscribe.com.
What we process, and why
- Clinic account: clinic name, address, phone, contact person and email, to create and bill the account.
- Clinic configuration: names of dentists and hygienists, their exam templates and their rules, so the application works for each of them.
- Dictated text: while the exam is dictated, the text is sent encrypted to our server and to our AI provider (Anthropic, Claude) to fill in the template. Exam notes are not stored by Odoscribe once the answer is returned.
- Audio: speech is turned into text on the clinic's computer. Audio is never sent or stored.
- Voice profiles (optional): a voice print (a list of numbers, not a recording) to tell the clinician's voice from the patient's. Saved only with the person's express consent; deletable at any time in the application or the clinic portal.
- Usage counters: date, person, number of AI requests and their cost, without clinical content, for billing.
Sharing
We do not sell personal information. Dictated text is processed by Anthropic to provide the service, under its commercial terms. Our hosting provider stores the clinic configuration.
Retention
Account data is kept while the account is active and then deleted on request, except where the law requires otherwise. Temporary notes used as a starting point are deleted after 24 hours.
Your rights
You may request access to, correction of or deletion of your personal information by writing to support@odoscribe.com. You may also file a complaint with the Commission d'accès à l'information du Québec.
Clinics' responsibilities
Each clinic remains responsible for the patient record and for informing its patients that a dictation tool is used.
